Common questions

What is an SOP?

An SOP (standard operating procedure) is a written, step-by-step description of how a recurring task is done, so that anyone trained on it does it the same way without asking the person who invented it.

How do I write an SOP?

Pick one process. Write the steps in order, say who does each step and with which tool, define what done looks like, and list the exceptions. Then have someone who has never done the task follow it and fix every place they get stuck. This template walks you through those parts in one form.

What does this SOP template include?

The process and its purpose, numbered steps, and a section most templates leave out: the decisions that currently wait for you, so your team can act without asking. You can download the result as a PDF or as Markdown.

What is a good SOP format and example?

A common SOP format has a title, purpose, scope, who is responsible, numbered steps, what done looks like, and exceptions. For example, an "Approve a supplier invoice" SOP would state the purpose, list the steps from receiving the invoice to payment, name who approves above a set amount, and say what to do when the invoice does not match the order. The "Fill with an example" button in this template loads a worked example you can edit.

Is the SOP template free?

Yes. The template and the downloads are free, and the tool includes a free allowance of full drafted SOPs.

What is the difference between an SOP and a process document?

In practice the terms overlap. A process document usually describes how work flows across people and teams; an SOP gives the exact steps for one task. A short SOP per recurring task is the easiest place to start.
